Admin: AI Limits

Click the AI Limits tile to manage how many AI requests users may make per month and to see how much AI capacity is being used across the platform.
How Limits Work
AI requests are tracked in three categories:

Limits are enforced only when a user is drawing from the shared platform Gemini key. Users who have added their own personal Gemini key, or who belong to a team that has its own key, are tracked but never blocked — the counter still runs so you can see their activity.
Each category has two limit tiers:
- Default limits — apply to every user who does not have a per-user override
- Per-user overrides — a custom limit for one specific user; overrides the default completely
A limit of blank (null) means unlimited for that category. Limits reset at the start of each calendar month.
Setting Default Limits
The Default Monthly Limits section shows the three categories and their current defaults. To change a default:
- Type a new number in the field for that category (or clear the field to set it to Unlimited)
- Click Save defaults
Changes apply immediately to any user who does not have a per-user override for that category.
Managing Per-User Overrides
The Per-User Overrides section lists every user who has a custom limit. The table shows their email, name, and the custom limit for each category. A dash (—) means no override has been set for that category; an infinity symbol (∞) means the override is explicitly set to Unlimited.
To add an override:
- Click Add override
- Enter the user's email address exactly as registered
- Set limits for the categories you want to override (leave a field blank for Unlimited)
- Click Save
To edit an existing override: Click Edit next to the user's row, adjust the values, and click Save.
To remove an override and revert a user to defaults: Click Remove next to the user's row, then confirm. The user will immediately be subject to the default limits again.
Viewing Current Month Usage
The Current Month Usage section shows all users who have made at least one AI request this month, sorted by total usage (highest first). The table shows each user's count for Standard, Authoring, and Image requests, plus their total.
Use this table to:
- Identify heavy users who may be drawing down the shared key budget
- Spot users who might benefit from a personal key recommendation
- Decide whether any per-user limits need to be raised or lowered
